Automatically Respond to Missed Calls
- Difficulty
- Beginner
- Setup effort
- About 1 hour (estimate)
- Good for
- Home service, Real estate, Local service
The problem
Callers who reach voicemail often call the next business on the list instead of waiting for a callback.
Who it’s for
Any business that takes inbound calls while on job sites, with customers, or after hours.
What you’ll need
- A CRM or phone system with missed-call text-back (e.g. GoHighLevel)
- A business phone number that supports SMS
How it works (overview)
This is a workflow overview. Exact menu names differ by software and change over time, so follow your tool’s current documentation for the click-by-click setup.
-
01
Route calls through a texting-capable number
Your business line needs to be a number your CRM or phone system controls, so it can detect a missed call and send a text from the same number.
-
02
Write a short, human reply
Example: “Hi, this is Sam at Greenline Landscaping. Sorry we missed you! What can we help with? You can reply right here.” Keep it under 160 characters if possible.
-
03
Trigger it on missed or unanswered calls
Set the automation to fire when a call goes unanswered. Add business-hours logic if you want a different message at night.
-
04
Notify yourself when they reply
Send a push or text notification to the owner or office manager so replies get answered quickly.
-
05
Test it from a personal phone
Call, let it ring out, and confirm the text arrives and replies land in your inbox.
Note: Follow texting consent and carrier registration rules (such as A2P 10DLC in the US) for business messaging.
